Privacy policy
How we collect, use and protect your personal data.
B Keepers is a trading name of AIM GB LTD.
B Keepers is committed to protecting your privacy. This summary explains how we handle your personal information in line with UK data protection law (UK GDPR and the Data Protection Act 2018).
Who we are
B Keepers provides bookkeeping services to sole traders and landlords. For the purposes of data protection, we are the data controller for the personal data we process in connection with our services.
What we collect and why
We collect and use information needed to provide our services, communicate with you, and meet our legal and regulatory obligations. This may include your name, contact details, business details, and financial information. We use it to deliver bookkeeping, support Making Tax Digital for Income Tax and tax compliance, and to improve our service.
Website forms and cookies
Our website includes a quote wizard and a contact form. When you use these, we collect the details you provide (such as name, email, phone, business type and turnover) so we can respond to your enquiry and, if you request it, provide a quote. Our lawful basis for this is our legitimate interest in responding to enquiries and taking steps at your request before entering a contract. We store a small piece of data in your browser only to remember that you have seen the cookie notice, so we do not show it again. We do not use tracking, analytics or advertising cookies.
How your form data is processed
When you submit the quote wizard or contact form, your message is delivered to us through Forminit, a form service that acts as our data processor. Forminit is a UK company (registered with the Information Commissioner's Office) and stores submissions on servers in the European Union (Ireland) under a data processing agreement, so your data stays within the UK and EU. It receives the details you enter (such as your name, email, phone, business type and turnover), makes them available to us so we can respond, and does not use them for any other purpose.
We only collect and send what is needed to respond to your enquiry. If you would rather not use the online form, you can contact us directly by phone or email using the details below.
Some pages also embed third-party content - an interactive map (Google Maps) and a video (YouTube, loaded in privacy-enhanced mode). When that content loads, those providers may set their own cookies. You can avoid this by not loading or interacting with the map or video.
Legal basis and retention
We process your data where necessary to perform our contract with you, to comply with legal obligations (e.g. tax and anti-money laundering), and where we have a legitimate interest. We keep your data only for as long as required for those purposes or by law.
Your rights
You have the right to access your data, ask for correction or deletion in certain cases, object to or restrict processing, and to data portability. You may also have the right to complain to the ICO. To exercise any of these rights or for more detail, please contact us using the details below.
